On behalf of our Client, a successful international company, we are looking for a highly motivated and conscientious professional for the position of:


Business Assistant (m/f)

Location: Zagreb

fixed-term contract (possibility of extension)


Responsibilities:

  • Providing comprehensive administrative support for the office, including managing schedules, handling correspondence, and ensuring smooth day-to-day operations
  • Assisting colleagues from different departments with various tasks
  • Overseeing and procuring office inventory, supplies, and equipment
  • Maintaining and filing of records
  • Managing contracts and relationships with office-related vendors
  • Preparing invoices and coordinating with outsourced partners such as IT and other providers, maintaining accurate financial records
  • Preparing documentation for external accounting
  • Organizing and coordinating meetings, both internal and external events, workshops, and team-building activities
  • Assisting in executing projects from conception to implementation by working cross-functionally
  • Coordinating global projects
  • Acting as a key user of internal software serving as the primary point of contact for IT issues, opening and tracking IT tickets, and ensuring maintaining of office equipment 
  • Facilitating the onboarding process for new employees, familiarizing them with office procedures, and managing their system access


Requirements: 

  • Minimum 3 years of administration experience
  • High level of computer literacy, proficient in Microsoft Office and other business software (SAP, or other ERP software is a plus)
  • Proficient knowledge of the English language, written and spoken
  • Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels
  • Strong time-management and organizational skills, multitasking, and prioritizing tasks effectively
  • Demonstrated problem-solving abilities, with a proactive approach to addressing challenges
